Coldcertain provides night-watch triage for commercial cleaning operations. This policy explains what information we collect and how we use it.

Information you share with us

When you book a call, email us, or set up your night protocol, we receive your name, company, contact details, and the operational details needed to configure your interception protocol — such as crew contact points and escalation preferences.

How we use it

We use this information to operate the service: answering routine crew messages, escalating true emergencies, and sending your morning summary. We do not sell your information, and we do not share it with third parties except the messaging providers needed to deliver the service.

SMS / Text Messaging Practices

Coldcertain communicates via SMS/MMS for emergency escalations, crew coordination, and morning summaries. Message frequency varies based on your night operations volume.

  • Business identity: Every text message originates from "Coldcertain" — our business name appears in the first message of every conversation.
  • Opt-out: Reply STOP to any message to immediately unsubscribe from all future texts. You will receive a confirmation and no further messages will be sent.
  • Help: Reply HELP to any message for support contact information and opt-out instructions.
  • Message & data rates may apply: Standard carrier rates apply. Frequency varies by your night operations activity.
  • Opt-in: By providing your mobile number during onboarding, you consent to receive operational texts from Coldcertain.

Sample Messages

Below are representative messages recipients may receive. Actual content varies by situation.

Emergency Escalation:

Coldcertain: Water leak reported at 123 Main St, Building B. Escalating to on-duty contact. Reply STOP to opt out.

Morning Summary (7:00 AM):

Coldcertain: Night summary — 3 routine resolved, 1 escalation (water leak, resolved). Full log: app.coldcertain.com. Reply STOP to opt out.

Crew Coordination:

Coldcertain: Key fob for Suite 300 located in lockbox. Clean Sweep team notified. Reply STOP to opt out.

Opt-In Explanation

Consent is collected during onboarding in one of two ways:

  1. Direct opt-in: The business owner or authorized contact provides their mobile number during the setup call or via the onboarding form, explicitly agreeing to receive operational texts from Coldcertain. This is documented in our onboarding record.
  2. Inbound opt-in: A crew member or contact texts Coldcertain first (e.g., to report an issue or ask a question). The first reply from Coldcertain includes business identification and opt-out instructions. Continued messaging constitutes ongoing consent.

In both cases, the first message from Coldcertain always includes the business name ("Coldcertain") and clear opt-out instructions (Reply STOP to opt out). No messages are sent before consent is established.

Your choices

You can ask us at any time what we hold about your operation, and you can ask us to correct or delete it by emailing contact@coldcertainteam.com. Replying STOP to any text opts you out of all future messages. Cancelling the service stops all future collection.

Data security
